Who we are
Project Signal is operated by Benjamin R. Consulting Inc. (“Project Signal”, “we”, “us”), located in Toronto, Ontario, Canada. This Privacy Policy explains how we collect, use, disclose and protect personal information when you use our website, web application and messaging services, in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy laws.

Information we collect
- Account information — name, work email, company, role and an encrypted password.
- Project and schedule data — activities, dates, responsibilities and team assignments you upload or sync from tools such as Procore.
- Recipient information — names, mobile numbers, email addresses and trade or company of people added to a project.
- Message records — notification content, delivery status, replies, and consent and opt-out records.
- Usage and device data — IP address, browser type, pages viewed and log data (see our Cookie Policy).
- Billing information — processed by our payment provider; we do not store full card numbers.
How we use information
- To provide, maintain and secure the service, including sending schedule notifications on behalf of our customers.
- To request, record and honour consent, STOP opt-outs and HELP requests.
- To provide customer support and respond to enquiries.
- To improve the product using aggregated or de-identified data.
- To send product news or marketing — only where you have given consent, and you can unsubscribe at any time.
Customers and recipients
When one of our customers (for example, a general contractor or owner) adds you to a project, that customer decides what information is entered and why. We process recipient information on the customer’s behalf and under their instructions. Questions about why you were added should go to that customer first; we will help you reach them.
Mobile numbers and SMS
Our commitment
We do not sell, rent or share mobile phone numbers or SMS opt-in data and consent with third parties or affiliates for marketing or promotional purposes. Mobile information is shared only with service providers, such as our messaging carrier, as needed to deliver the messages you requested.

Where information is stored
Your information is stored in Canada, on Amazon Web Services in the Canada (Central) region. Some service providers process it in the United States: text messages (Twilio), email (SendGrid) and, when a workspace turns it on, the AI assistant. When information is processed outside Canada it may be accessible to authorities there under local law. We use contractual and technical safeguards wherever it is processed.
AI features
If you use Signal AI or connect Project Signal to an AI tool through our API or MCP server, relevant schedule data may be processed by third-party AI model providers. We only use providers whose terms prohibit training their models on your data.
Retention
We keep account and project data while your account is active and for up to 90 days after closure to allow export. Consent and opt-out records are kept for at least three years so we and our customers can demonstrate compliance with Canada’s Anti-Spam Legislation (CASL). Information is then deleted or anonymized.
Security
We use encryption in transit (TLS) and at rest, role-based access controls, least-privilege access for staff and audit logging. No system is perfectly secure. If a breach creates a real risk of significant harm, we will notify affected individuals and the Office of the Privacy Commissioner of Canada as required by law.
Your rights
- Access the personal information we hold about you.
- Correct information that is inaccurate or incomplete.
- Withdraw consent, subject to legal or contractual limits.
- Ask us to delete your information.
- Complain to the Office of the Privacy Commissioner of Canada.

Children
Project Signal is a business service and is not intended for anyone under 18. We do not knowingly collect information from minors.
Changes to this policy
We will post any changes on this page and update the date above. If changes are material, we will notify account holders by email or in the app before they take effect.
